Buying and configuring a phone number

Buy a number

  • Settings → Phone Numbers → "+ Add Number"

  • Choose number type: Local, Toll-Free, or Mobile (where available)

  • Search by area code, prefix, or pattern (vanity numbers like 1-800-FLOWERS

  • Click Buy on your chosen number

  • Number is provisioned within seconds and ready to use

Configure inbound call handling

  • Click on your number in Settings → Phone Numbers

  • Set call destination: Forward to a number (your cell), Ring a calendar, Trigger a workflow, or Send to AI voice agent

  • Set ring duration before voicemail

  • Upload a voicemail greeting OR record one directly in the browser

  • Configure call recording settings

Recommended initial configuration for solo operators

  • Inbound calls forward to your personal cell phone

  • After 4 rings, route to voicemail with greeting

  • Voicemail transcription enabled (you receive an SMS or email of what was said)

  • Missed Call Text-Back workflow enabled (auto-SMS within 30 seconds of missed call)

  • Call recording enabled (training, dispute resolution — disclose in greeting where required by law)

WARNING — Two-party consent states

Some US states require ALL parties to consent to call recording — California, Connecticut, Florida, Illinois, Maryland, Massachusetts, Michigan, Montana, Nevada, New Hampshire, Pennsylvania, Washington. If you record in or call into one of these states, your greeting must explicitly notify callers ("This call may be recorded for quality and training").

Set up Missed Call Text-Back

  • Automation → Workflows → "+ New Workflow"

  • Trigger: Missed Call (filter by your phone number)

  • Wait: 30 seconds

  • Action: Send SMS "Hi! Just missed your call. How can I help?"

  • Test by calling your number from another phone, hanging up before answering

  • Publish
