How AI review replies work

  • New review arrives via Google or Facebook integration

  • AI reads the review and your business profile context

  • AI drafts a response in your configured tone

  • Either: auto-posts immediately, OR queues for your approval before posting

Configuration

  1. Reputation → AI Auto-Reply → Settings

  2. Set tone (professional, warm, casual, formal)

  3. Set auto-post behavior:

  4. Auto-post all replies (most automation, least oversight)

  5. Auto-post 4–5 star reviews; queue 1–3 for approval (recommended)

  6. Queue ALL replies for human approval (most oversight)

  7. Set custom guidelines: things to always include (e.g., "thank by name," "invite back") or always avoid (e.g., "don't apologize for things outside our control")

  8. Save

Quality safeguards

  • AI replies are never identical — each is generated fresh based on the specific review text

  • AI reads the reviewer's specific complaints/compliments and addresses them

  • AI never invents facts (no false promises, no fabricated apologies for things you didn't do)

  • Human review queue lets you catch edge cases before they go public

TIP — Approve negative replies manually

Even with AI auto-reply enabled, queue 1–3 star review replies for human approval before posting. The stakes are higher, the language matters more, and a tone-deaf AI reply to an angry review can turn a 1-star into a public crisis. AI is excellent at thanking happy customers and decent at acknowledging mild concerns — but heated complaints deserve the human touch.
