Customers reach out through many channels — Google Business messaging, Facebook Messenger, Instagram DMs, your website chat widget, email, SMS. Intellivizz CRM unifies them into one inbox so your team can respond quickly without juggling tabs. Day 4 is when we connect these external channels so by launch day, every customer message is captured.
This connects your Google Business listing so customer reviews flow into Reputation Management, Google Business Messages route to your inbox, and you can reply directly from Intellivizz CRM.
Go to Settings → Integrations → Google Business Profile
Click "Connect"
Sign in with the Google account that manages your business listing (must be Owner or Manager)
Approve permissions: read+write reviews, read+write messages, location info
Select your business location from the dropdown
Click Save — your existing reviews start flowing in within minutes
The Meta integration covers Page management, Messenger inbox, Instagram DMs, Facebook Lead Ad form ingestion, and the Conversions API. All under one connection
Go to Settings → Integrations → Facebook6. Mix uppercase, lowercase, numbers, and at least one symbol
Click "Connect with Facebook"
Sign in with the Facebook account that admins your Page (must be Admin or Editor)
Select your Page (or Pages — you can connect multiple)
If you have a linked Instagram Business account, it's included automatically
Approve ALL permissions — declining any one breaks the corresponding feature
Save
WARNING — Meta tokens expire every ~60 days
Facebook OAuth tokens have a 60-day lifespan. If your Facebook integration silently breaks one day, this is almost always why. Set a recurring calendar reminder every 45 days to verify Settings → Integrations → Facebook still shows "Connected". If it shows expired, just click Reconnect and re-approve.
In Facebook Ads Manager, set up your Lead Ad campaign as normal
Back in Intellivizz CRM, go to Settings → Integrations → Facebook → Lead Ad Forms
Click "Refresh" to pull your active forms
For each form, configure: which workflow to trigger, which tags to apply, field mapping
Test by submitting a test lead through Facebook ad preview
Verify the lead appears in Contacts within 1–2 minutes

If you want a chat widget on your existing website (the bubble in the bottom-right corner), this connects it to your CRM inbox.
Go to Conversations → Settings → Chat Widget
Customize: position, color, greeting message, away message, AI bot toggle
Copy the embed snippet (HTML + JS)
Paste into your website's <head> tag (or use Google Tag Manager)
Test by visiting your website — the widget should appear within 30 seconds
Send a test message from incognito — should arrive in CRM Conversations
For low-volume 1:1 emails, connect Gmail or Outlook (per-user) so emails come from your real address. For bulk/marketing email, set up SPF/DKIM/DMARC at your domain instead — see the Email Marketing guide.
Per-user Gmail: Settings → My Profile → Email Settings → Connect Gmail
Per-user Outlook: same path, click Connect Outlook
Domain-level (for marketing): Settings → Email → Domain Authentication — we'll cover this in OB-010 if you're launching email campaigns
| Channel | Setup time | Per-user or account-wide | Notes |
|---|---|---|---|
| Google Business Profile | 5 min | Account-wide | Reviews + messages |
| Facebook + Instagram | 5 min | Account-wide | Tokens expire every 60 days |
| Chat widget | 10 min | Account-wide (per-website) | Multiple sites need separate widgets |
| Gmail (sending) | 3 min | Per-user | For 1:1 emails up to ~500/day |
| Outlook (sending) | 3 min | Per-user | For 1:1 emails |
| Domain auth (SPF/DKIM/DMARC) | 30–60 min | Account-wide | Required for bulk email — see Email Marketing |
| WhatsApp Business | 15–30 min | Account-wide | Requires WABA setup; ask your specialist |
Worked example: Boutique hotel — multi-channel setup
Channels customers use to reach them: Google Business Messages (most common), Instagram DMs (#2), website chat (#3), occasional FB Messenger.
They connect: Google Business Profile, Facebook+Instagram, chat widget on hotel website.
They configure the chat widget greeting: "Hi! I'm Iris from Saltbreeze Inn. How can I help?"
After connecting, the morning manager checks one inbox and sees: a Google Business Message asking about pet policy, an Instagram DM about availability, a chat about parking. All in one place.
No FB Lead Ads (they don't advertise), so they skip that section
| Symptom | Likely cause | What to do |
|---|---|---|
| Google Business connect fails with 'no eligible business found' | Account doesn't actually own/manage a verified Google Business listing | Verify at business.google.com that listing exists, you're an Owner/Manager, and listing is verified |
| Facebook approval prompt says "missing permission" | Declined a required scope during OAuth | Disconnect, reconnect, approve ALL permissions when prompted |
| Facebook Page list is empty after sign-in | You're not Admin/Editor of any Page | Get added to your business Page in Facebook (someone with Admin role does this); then reconnect |
| Instagram messages aren't arriving | IG account isn't linked to FB Page; or it's a Personal not Business account | Convert IG to Business account, link to your FB Page, then reconnect Facebook integration |
| Lead Ad forms don't show up in Intellivizz | Forms older than 90 days, OR not yet active in Ads Manager | Click "Refresh" on the Lead Ad Forms page; or republish the form in Ads Manager |
| Chat widget doesn't appear on website | Snippet pasted in wrong location, or blocked by ad-blocker | Verify snippet is in ; test in incognito with extensions disabled |
| Customer messages on FB are delayed by hours | Webhook delivery delays from Meta side (occasional) | Usually self-resolves; if persistent for 24+ hours, disconnect and reconnect Facebook |
| Gmail send fails with "rate limit exceeded" | Sent too many emails too fast through personal Gmail (~500/day cap) | Switch to domain-authenticated sending for bulk email — see Email Marketing OB/EM-002 |
